Executive Assistant (Longview TX)​

  • Hiring Term: Immediately

  • Location: In Person at Longview TX HQ

 

  • Part Time: $20/hour + Performance Bonus Opportunities

We produce 70+ running and trail events a year across multiple brands. We’re looking for a sharp, reliable part-time position to keep our production and merchandise operation running smoothly and to take a range of tasks off the CEO's plate. This is a jack-of-all-trades seat for someone who is organized, self-directed, creative, and genuinely good at follow-through, the kind of person who closes loops without being chased.

Work Schedule

15-20 hour/week (sometime between M-F 8AM-5PM), able to attend some weekend events and travel on some weekends. 

Responsibilities

  • Event SWAG & Merchandise: supplier communication and ordering, place and track orders with domestic and overseas vendors (Alibaba, print shops), keep timelines on schedule.

  • Inventory & fulfillment: track stock, fulfill and pack merch orders, keep online store (WIX) listings and counts accurate and current.

  • Order records: maintain order and task tracking in our system (TrailOS) so status is always accurate - what’s ordered, where it is, what’s on hand.

  • Errands & logistics: supply runs, pickups, and drop-offs (post office, Walmart, local vendors) as needed.

  • Business Tasks: Generate reports needs via Excel, email, docs, etc. help prep for events, and handle various tasks and projects for the CEO as they come up.

  • light graphic design skill, simple merch/SWAG mockups, event graphics, and template edits (a plus, not a dealbreaker; see below).

 

Qualifications

  • Key qualification: retail, e-commerce, or product inventory/ordering experience. If you’ve managed stock, placed purchase orders, or run fulfillment, you already know most of this job.

  • Reliability & follow-through: you close loops, hit deadlines, and keep accurate records without being reminded. This matters more than any single skill.

  • General business sense: comfortable switching between focused ops work and reactive, shifting tasks.

  • Design (preferred): basic graphic design skill (Canva, Adobe, or similar) is a strong plus but not required.

Ideal Candidate

The ideal candidate is a strong problem solver who remains calm under pressure, takes ownership, and thrives in fast-growth environments. They should be highly organized, accountable, and capable of managing all merchandise and event SWAG logistics while being able to complete misc. or business-related tasks.

Character:
An executive assistant must carry high integrity, a servants heart, strong character, and sound judgment to successfully execute day to day tasks and complete work well. You must be extremely hard-working, organized, intelligent, creative, and personable, with a give more than I take mindset and a willingness to do whatever it takes to support the team and the athletes we serve.
